Disk Storage

Top

Disk storage measures the amount of data that is stored on our servers based on the email messages and files that are in your folders & storage.

Disk space is a factor in how we price our email accounts. We offer both shared and fixed disk space plans. With our personal (one mailbox or email address) email plans, the maximum allowable disk space for the account is fixed. You can view our personal email plans by clicking the link Personal Email Plans.

Our business (more than one mailbox or email address) email plans allow you to choose between a shared disk space plan or a fixed disk space plan. You may view our business email plans by clicking the link Business Email Plans. There are tabs on this page that will enable you to switch back and forth between shared and fixed disk space plans.

To view your current disk space usage for your email account, login to your account and click on the 'Today' link and then click on the 'Application Status' icon at the lower left hand side of the screen. Check the option 'Disk Space' if it is not checked and then click anywhere in the disk space meter area to bring up a detailed view of your disk space usage.

If you have a business email plan and you want to view the disk space for all of your email accounts, you may login to your main admin account and then click on 'Settings' and then on 'Email Account Management'. You will see a 'Disk Space' column there that displays the disk space usage for each individual email account.

If your disk space is low for any account, you will receive an automated email message alert. You can then delete email to restore disk space or you can request an account upgrade by sending an email to support@emailhosting.com.

# of Mailboxes

Top

The number of mailboxes refers to the actual number of email accounts that you have available in your plan. Each mailbox has its own separate login. The email address that you supply upon sign-up is your admin mailbox from which you can administer all of your other mailboxes.

All personal email plans come with only one mailbox or email address. All business email plans allow for more than one email account. You may view our business plans by clicking the link Business Email Plans. You will see the number of mailboxes that are available for each plan. Pricing is based on the number of mailboxes that you select.

After you choose a plan, you may upgrade at anytime as your needs grow. Also, if your needs exceed the plans listed on our site, simply send an email to support@emailhosting.com and tell us how many mailboxes you need and we will customize a solution for you. We can accomodate any number of mailboxes on our system.

Consolidator Accounts

Consolidator accounts are accounts such as your hotmail, gmail, yahoo, earthlink, mindspring, etc. in addition to your IMAP or POP3 email accounts from which our system can periodically pull messages from into your email hosting account with us so that you do not have to login to multiple accounts daily to see all of your email. You can even reply back to messages for these consolidator accounts from your email hosting account as if you were responding from the consolidator account.

To setup consolidator accounts, login to your account and then click on 'Settings', 'Mail Aliases and Consolidation', 'Consolidator Accounts' and then on the 'Consolidate a new account' button.

Webmail

Top

There are many ways to check your email using our system including webmail, third-party email client (Outlook, etc) and mobile phone. You can access webmail from any computer anywhere as long as you have an internet connection. All of the features listed here on this page apply to your webmail.

To access webmail, you may visit EmailHosting.com and then click on the 'My Account' link at the top of the page. Then, you will enter your username and password and select 'Email Hosting' from the drop-down menu if it is not already selected as the default. Next, you will click on 'Login'. Alternatively, you may access your webmail using http://webmail.yourdomain.com. For example, if you own the domain name xyz.com, you could access your webmail using http://webmail.xyz.com. To set this up, you would add a CNAME record to your DNS. Basically, if you have a website on your domain name, you would contact your web hosting company and request that they add the CNAME record webmail.yourdomain.com in CNAME www.mailanyone.net. If you do not have a website on your domain name, you would simply contact your domain name registration company where you purchased your domain name and request that they add this CNAME record for you.

IMAP/POP3

If you want to use a third party email client such as Outlook with our email service, you will have a choice of setting it up using IMAP or POP3. We provide step-by-step tutorials for setting up your email client using IMAP or POP3 on our Tutorials page.

IMAP and POP3 are two different email protocols. You should select POP3 if you plan on accessing your email from one computer only since email is typically downloaded locally with this protocol. If you need access to your email from anywhere, then you should use IMAP since the protocol keeps email on the server until you delete it.

SMTP

Top

SMTP is a protocol that we use to send email over the Internet. IMAP and POP3 are protocols that are used to receive email. When setting up an email client such as Outlook with our service, you will need to enter SMTP settings. You will see those settings on our Tutorials page.

Spam Filtering

All mailboxes are protected from spam using a spam filtering setup that uses Bayesian filtering and smart rules. We stop spam at the gateway; and so, it rarely ever reaches your inbox. Aside from spam not entering your inbox, we do ensure that all legitimate email is delivered to your inbox through our spam scoring technology.

We do our best to ensure spam free mailboxes so that you can focus only on messages that deserve your attention. You will be able to whitelist email addresses, IP addresses or domains so that messages that match the ones noted will always land in your inbox. Alternatively, you will also be able to add email addresses, IP addresses or domains to your blacklist so that these messages coming from these sources are treated as spam.

To modify your spam settings, login to your account and then click on 'Settings', 'Anti-spam' and 'Anti-spam Settings'. Spam reports are also available for your review.

Virus Filtering

We provide the most comprehensive email virus protection for all mailboxes. Our system stops viruses at the gateway; and so, they never reach your company network. Both incoming and outgoing messages are scanned for viruses. Our system also automatically updates with new virus definitions every minute. As such, you can feel safe opening any attachments that you have received in your inbox. If a virus is detected in an attachment, the attachment is stripped and only the message is delivered without the attachment.

To modify your virus settings, login to your account and then click on 'Settings', 'Anti-spam' and 'Anti-spam Settings'. You will see anti-virus scanning options through this interface.

Mail Rules

Mail rules allow you to manage your incoming and outgoing email messages. With our mail rules system, you have tons of flexibility. You may setup multiple conditions as well as multiple actions. Additionally, you may even apply new mail rules to existing messages. We believe that managing the messages that you send/receive is very important. As such, we provide you with the tools to keep your mailbox organized based on your preferences.

To setup mail rules, login to your account and click on 'Settings', 'Mail Rules' and then on the 'Add a Rule' button.

In the unlikely rare case that our email servers become unavailable, our system automatically spools and queues your email so that you do not receive any bounced messages. Then, when the system is back up, your messages are automatically delivered to your inbox. No one wins when email is down and we have taken all of the necessary steps to ensure that our system is always up and running.

Mailing Lists

Our email system does NOT allow sending bulk email; however, you are welcome to create distribution or mailing lists to send one message to a list of recipients. Our distribution lists allow for a maximum of 2000 recipients. If you need a more comprehensive mailing list solution or need to send bulk email, we offer an email marketing service that allows you to send unlimited messages in addition to providing the best in managing lists. To create mailing lists through our email solution, login to your account and click on 'Settings', 'Forwards, Autorespond, Lists' and then on 'Mailing Lists'. Next, you may click on the 'New List' button to setup your list.

Online Storage

Top

One of our main menu items in our email interface is 'Storage'. This is our online storage area where you may upload files so that they are easily accessible and organized within folders. This setup allows you to easily use these files as your attachments for outgoing messages. You also have FTP access to your online storage.

To view your online storage area, login to your account and click on the main menu item 'Storage'. You may then upload files, delete files and add new folders.

Large(50MB) Attachments

Top

All mailboxes are allowed a generous 50MB for each outgoing message. Therefore, your email message including your attachment may be up to 50MB in size. If you need to send larger attachments, we highly recommend using a service such as Send and Share Files On the Go which will allow you to send a link to your recipient which contains the large attachment.

Whitelists

Top

You may add email addresses and domain names to your whitelist. There are rare cases when legitimate email messages end up in your spam folder. If you are certain that the message should be delivered to your inbox, you may add the email address to your whitelist to ensure that it always ends up in your inbox. Adding an email address to your whitelist tells our spam system not to check for spam from any email coming from the whitelisted email address.

To add email addresses or domain names to your whitelist, login to your account and click on 'Settings', 'Anti-Spam', 'My Whitelist' and then on the 'Add an email address or domain to whitelist button.

Blacklists

Top

You may add email addresses and domain names to your blacklist. There are rare cases when a spam message may be delivered to your inbox. If you are certain that the message should have been delivered to your spam folder, you may add the email address to your blacklist to ensure that it always ends up in your spam folder. Adding an email address to your blacklist tells our spam system to deliver all messages from the blacklisted email adddress to the spam folder.

To add email addresses or domain names to your blacklist, login to your account and click on 'Settings', 'Anti-Spam', 'My Blacklist' and then on the 'Add an email address or domain to blacklist button.

Archiving

Top

Allowing the number of messages in your folders to grow immensely is not a good practice. We suggest using our archiving feature to automatically move messages into an archive folder. There are several options to allow for flexibility in how you want to setup your default archiving.

To setup archiving for your mailbox, login to your account and click on 'Settings' and then on 'Backup & Archiving'.

Data Security

Your mailbox data is hosted on a primary and secondary server; and so, if one of the server should happen to fail, the other one automatically takes over. Also, your data is housed in world-class datacenters manned 24/7/365. We go above and beyond to ensure that your data is safe and secure.

Email Signatures

Top

We refer to email signatures as identities. Identities are certain names, email addresses and signatures that you can use when sending email messages. These email signatures can be appended automatically to every message that you send out through the webmail interface.

To setup an email signature, login to your account and click on 'Settings', 'Webmail Settings', 'Identities' and then click on the 'Add an Identity' button.

Folder Management

Our folder management interface allows you to create, rename, move, delete and share folders.

To perform any of these tasks, login to your account and click on 'Settings', 'Folder Management' and then on the function that you want. To share folders with other users, you would need to click on the 'Properties' link.

Desktop Notifier

Top

If you like receiving alerts when you receive new email messages, you will love our desktop notifier webmail companion. This feature alerts you when you receive a new message similar to how Outlook works. Our users find this feature particularly helpful when working on other applications.

To download the desktop notifier add-on, login to your account and click on 'Settings', 'Desktop Notifier' and then click on the 'Install Now' icon.

Restore from Backups

Top

We make regular backups of your email messages. Our backups run in a cycle and the data that is available for you depends on where your account falls within the cycle. There is a $5 charge for each folder that you want restored. If you have accidentally deleted a message, this feature is priceless if your data is available.

If you are using POP3 and downloading your messages to your local desktop and deleting the messages from the server, please note that we will not have any backups of your email. It is critical that you maintain your own backups in this case.

To restore email messages, login to your account and click on 'Settings', 'Backup & Archiving' and then on the 'Restore' menu item. Alternatively, you may send a message to support@emailhosting.com.

Ad-Free

Top

Many email providers display ads within their email service. We do NOT use ads in our webmail; and so, you can focus on your email and not other distractions. We want to provide you with the richest email experience using a clean interface.

ImageFilter

Top

In order to allow you a choice as to whether you want to view images within your email messages, you will have the option to click on links that display the image from within the message. There are times when you will always want to view images from certain email addresses or domain names. As such, you may add these email addresses or domain names to the ImageFilter list and the images will automatically be displayed within any messages that you receive.

To add email addresses or domain names to the ImageFilter list, login to your account and click on 'Settings', 'Anti-Spam' and then click on the ImageFilter menu item.

Multi-Language Support

We have users from all over the world and we want to serve them in the best manner possible. As such, we provide our users the ability to change our webmail to several different languages, namely...English, Arabic, Chinese, French, German, Italian, Portugese and Spanish.

RSS Feeds

Top

RSS feeds allow an easy automated way to check a site for updates. You may create folders with one or more preconfigured RSS feeds. We offer an in-house comprehensive RSS feed library on many topics such as news headlines, sports, etc. Also, you have the option of entering your own RSS feed URL. This RSS feed will be availabe through webmail as well as any email clients such as Outlook.

To setup a RSS feed, login to your account and click on 'Settings', 'RSS Feeds' and then click on the 'Add RSS Folder' button.

LDAP Directories

LDAP, Lightweight Directory Access Protocol, is an Internet protocol that allows email systems like ours to lookup information from the server. You may create directories that contain a collection of one or more of your group contact folders. These LDAP directories will allow your contacts to be accessible from both the webmail interface and an email client such as Outlook.

To setup LDAP directories, login to your account and click on 'Settings', 'LDAP Directories' and then click on the 'Add LDAP Directory' button.

Webmail Spell Checker

Our webmail system has a spell checker built in; and so, after you are finished composing a message or during your message write-up, you may click on the spell checker icon to have the system check the spelling of all your words. This is a great tool to ensure that all of your messages are delivered without spelling errors.

Vacation Message

Top

You may setup a vacation message so that when you are away on vacation, people that send you a message automatically receive a message back with your vacation message. You may setup an expiration date in setting up your vacation message so that your vacation message will automatically be disabled upon reaching the expiration date.

To setup a vacation message, login to your account and click on 'Settings', 'Forwards, Autorespond, Lists' and then click on the 'Setup Vacation Message' link. You may click on the 'Disable Vacation Message' when you are ready to disable your vacation message.

Domains

Top

You may add unlimited domain names onto any of our email plans. For every domain name that you want to receive email through our system, you must change the mx record for your domain name to mx.emailhosting.com. To change your mx record for your domain name, you would contact your domain name registration company or DNS host. If you do NOT have a website on your domain name and want us to host your DNS, you would need to contact your domain name registration company and ask that they change your DNS nameservers to ns.emailhosting.com, ns2.emailhosting.com.

To add domain names to your account, login to your account and click on 'Settings', 'Domain Names' and then click on the 'Add a Domain' button. If you do NOT have a website on your domain name and want us to host your DNS, you may check the option 'Host DNS'. Please make sure that your DNS nameservers are setup to point to ns.emailhosting.com, ns2.emailhosting.com if you select 'Host DNS'. You can also enable custom login which will allow you to access your email using http://webmail.yourdomain.com.

If you simply change your mx record for your domain name to mx.emailhosting.com and want to be able to access your email using https://webmail.yourdomain.com, then you should contact your domain name registration company and ask them to add the CNAME record as follows: webmail.yourdomain.com in CNAME www.mailanyone.net

Aliases

Top

You may add unlimited aliases onto any of our email plans. You may also use the wildcard * character to include all aliases for a domain name. Each email account that you create must have a corresponding alias in order to receive email. For example, if you owned the domain name xyz.com and wanted to setup an email address of john@xyz.com, you would first need to contact your domain name registration company or DNS host and ask that the mx record for your domain name is set to mx.emailhosting.com. Also, you would need a corresponding alias of john@xyz.com. You could setup additional aliases on that email account as well. For instance, you could setup johnny@xyz.com as an alias on the john@xyz.com email account. Therefore, when anyone sends a message to johnny@xyz.com, it will be received in the john@xyz.com email account.

To setup an alias on your account, login to your account and click on 'Settings', 'Mail Aliases & Consolidation' and then click on the 'Add a new mail alias to a domain name' button.

Forwarders

Top

Forwarders allow you to forward email sent to one of your email addresses to another email address. For example, if you own the email address, john@xyz.com, then you could setup a forwarder to forward all email sent to john@xyz.com to your gmail email account, john@gmail.com.

To setup forwarders, login to your account and click on 'Settings', Forwards, Autorespond, Lists', 'Mail Forwarders' and then click on the 'Add a new mail forwarder to a domain name' button.

Autoresponders

Top

You may setup an autoresponder so that every message that you receive is automatically responded to with a message such as 'Thank you for your message. We will respond as soon as possible.' You may setup an expiration date in setting up your autoresponder so that your autoresponder will automatically be disabled upon reaching the expiration date.

To setup an autoresponder, login to your account and click on 'Settings', 'Forwards, Autorespond, Lists' and then click on the 'Mail Autoresponders' link.

Branding

Top

This feature allows you to add your logo so that all pages for the webmail interface are presented with your logo. This allows the user to feel that this email product is an extension of your company.

To setup branding, login to your account and click on 'Settings', 'Branding' and then you may click on the 'Browse' button to upload your own logo.

Mail Folder Sharing

Top

The mail folder sharing feature is particularly useful if you want to share particular folders with your other users. From the Folder Management link, you may create, move, rename, delete and share folders.

To setup mail folder sharing, login to your account and click on 'Settings', 'Folder Management', 'Properties' and then select the folder that you want to share and click on the 'View/Edit Properties' button.

Contacts Sharing

We've made it very easy to share your contacts with your other users. You may share your contacts in one of two ways.

To setup contacts sharing, login to your account and click on the main menu item 'Contacts'. In the left pane, you will see your Contact folders. You may right-click on any of the items and then click on 'Folder Sharing' from the drop-down menu. Alternatively, to setup contacts sharing, login to your account and click on 'Settings', 'Folder Management', 'Properties' and then select the folder that you want to share and click on the 'View/Edit Properties' button.

Tasks Sharing

Sometimes, you will want to share your tasks with your other users. You may setup tasks sharing in one of two ways.

To setup tasks sharing, login to your account and click on the main menu item 'Tasks'. In the left pane, you will see your Tasks folders. You may right-click on any of the items and then click on 'Folder Sharing' from the drop-down menu. Alternatively, to setup tasks sharing, login to your account and click on 'Settings', 'Folder Management', 'Properties' and then select the folder that you want to share and click on the 'View/Edit Properties' button.

Notes Sharing

Top

Being able to share your notes with your other users is a very useful feature. You may achieve notes sharing in one of two ways.

To setup notes sharing, login to your account and click on the main menu item 'Notes'. In the left pane, you will see your Notes folders. You may right-click on any of the items and then click on 'Folder Sharing' from the drop-down menu. Alternatively, to setup notes sharing, login to your account and click on 'Settings', 'Folder Management', 'Properties' and then select the folder that you want to share and click on the 'View/Edit Properties' button.
